Before hiring an AI automation agency, compare the exact process it will deliver, the accounts your business will control and the support available after launch. A proposal should identify integrations, usage costs, test criteria and exclusions. 'AI-powered growth' is not a sufficient scope of work.
This is especially useful when several quotes look similar but cover different responsibilities.
Ask for a workflow, not a feature list
Have the supplier explain the trigger, information collected, action taken and exception path. For lead response, that includes how enquiries enter, who receives them, how a booking is created and what happens when the customer asks for a human.
Request a simple demonstration using fictional details. Verify the record reaches the intended CRM and calendar. A chatbot demo without the downstream systems is only part of the deliverable.
Establish ownership before setup
Specify who controls the domain, phone number, CRM, messaging account and integrations. Your business should understand how to access records, export data and change suppliers. Identify anything licensed from the agency that cannot be transferred.
Use suitable access permissions instead of sharing one unrestricted login with everyone. Clarify how supplier access is removed when the engagement ends.
Compare the total cost
Separate setup, subscription, usage, third-party fees, maintenance and additional change requests. Ask what counts as support and what counts as new development. Confirm currency, renewal terms and cancellation arrangements.
Hypothetical example: a lower setup price may exclude calendar integration and testing. Compare the completed system your team needs, rather than ranking quotes by the first number on the page.
Agree acceptance tests
List ordinary and difficult scenarios: duplicate leads, unavailable appointments, missing information, failed messages and requests for a person. Define which errors block launch and who fixes them.
Ask for training, operating instructions and a fallback process. Staff should know how to pause the workflow without deleting data or breaking other processes.
Ask how success will be measured
Use metrics linked to the business problem: useful response time, correctly assigned enquiries, attended appointments or completed incremental jobs. Include quality and operating cost.
Avoid proposals that guarantee search recommendations, sales lifts or specific returns without a credible basis. A responsible pilot tests whether the expected benefit occurs in your business.
Prepare your own input
Bring a clean service list, opening hours, approved messages, representative enquiries and the person who can approve decisions. Missing business information can delay any supplier.
