An AI receptionist quote should separate initial setup, ongoing service, usage charges and the cost of connecting your existing phone and booking systems. There is no single reliable price for every Trinidad and Tobago business: a simple enquiry assistant and a receptionist that transfers calls, checks calendars and updates your CRM require different work.

Start with the calls you need handled
Before asking for a price, review a normal week of calls. Identify opening hours, common questions, approximate call duration, languages or accents encountered, and how often someone needs a human. Note whether the assistant should answer every call or only overflow and after-hours calls.

Give suppliers the same scope. Otherwise a cheaper proposal might cover only messages while another includes booking, transfers and maintenance. Specify the currency, billing period and whether taxes are included.

Ask for five separate cost lines
Request setup and training, the recurring platform or management fee, included minutes and overage rates, phone-number or routing charges, and integration or support costs. Ask how failed calls, transfers and lengthy conversations are billed. Request a usage alert and a spending cap where available.

Include future changes in the comparison. Updating opening hours may be routine; connecting another branch or rebuilding a calendar integration may be a separate project. A quote should say which changes are included and who approves extra charges.

Calculate a break-even point using profit
Hypothetical example: total monthly running cost is TTD 1,200, and the average additional completed job contributes TTD 400 after direct costs. Three additional jobs cover that running cost. If setup is TTD 3,600 spread over six months for planning, the monthly cost becomes TTD 1,800, requiring five jobs when rounded up.

These are illustrative inputs, not CMH prices or promised results. Count completed, incremental jobs rather than every appointment the assistant books. Existing customers may have booked anyway.

Require a practical trial
Test a new enquiry, a reschedule, an unclear caller, a request outside your service area and a request for a human. Check whether the booking appears in the right calendar and whether staff receive usable notes. A polished voice demonstration does not prove the integrations work.

Questions to ask before paying
Can I keep my number? Who controls the account? What happens if the assistant fails? Can I export records? What are cancellation terms? Ask for these answers in writing.

A useful first project has one clear job and a measurable outcome. CMH Consultancy can help scope that project for your business. Bring a sample week of call data to a free strategy conversation, and compare the full operating cost against realistic contribution from recovered enquiries.
